Ontario Cares (“we,” “us,” or “our”) is committed to protecting the privacy of the individuals we serve, support, and communicate with. This policy explains what information we collect, how we use it, and the choices you have.

Information We Collect

  •  Donations and fundraising: When you make a donation, sign up for recurring giving, or register for a fundraising event, we collect information such as your name, email address, mailing address, phone number, and payment information.

  • Newsletter and email sign-ups: If you subscribe to our email updates, we collect your name and email address.

  • Text messaging (SMS): See the SMS/Text Messaging section below.

  • Program registration and intake forms.

  • Some of our programs collect information necessary to enroll and support participants.

  • Volunteer applications: If you apply to volunteer with us, we collect the information provided on your application.

  • Website usage: We do not currently use Google Analytics or similar third-party tracking/analytics tools on our website.

  • Information About Minors: Some of our programs serve youth under the age of 18. We do not knowingly collect personal information directly from a minor without parental or guardian involvement, such as through enrollment and consent forms, and we do not use minors’ information for marketing or fundraising solicitation.

    SMS / Text Messaging

    Ontario Cares collects mobile phone numbers when individuals opt in to receive text messages through our website, email, or by texting us directly. By providing your mobile number and opting in, you consent to receive text messages from Ontario Cares related to programs, updates, and event reminders.

    No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

    Message frequency varies. Message and data rates may apply.

    You may opt out of receiving text messages at any time by replying STOP, STOP ALL, QUIT, END, CANCEL, or UNSUBSCRIBE. For help, reply HELP or contact us at [email protected] or 585.396.4554.

    We retain mobile phone numbers and messaging records for as long as needed to operate our text messaging program and in accordance with applicable law. To request that your information be deleted, contact us at [email protected].

    Who We Share Your Data With

    We do not sell or rent personal information. We share information only as needed to operate our organization and programs, including with service providers who help us manage donations, communications, and administrative functions, and who are only permitted to use your information to provide services to us.

    We may also disclose information as required by law, or to protect the safety of a participant, staff member, or the public.

    Certain programs maintain additional confidentiality protections consistent with their program requirements.

    Cookies

    Our website may use basic cookies necessary for site functionality. We do not currently use Google Analytics or other third-party advertising or tracking cookies.

    Data Security

    Ontario Cares takes reasonable measures to protect the personal information we collect and maintains practices consistent with applicable New York State data security requirements. While no method of transmission or storage over the internet is completely secure, we are committed to protecting your information from unauthorized access, use, or disclosure.

    How Long We Retain Your Data

    We retain personal information for as long as necessary to fulfill the purposes described in this policy and comply with legal, accounting, or reporting obligations.
